We are looking for a leader to provide consistency in therapy standards, structure and overall program delivery across all regions. The Director of Operations is responsible for the efficient coordination and oversight of clinic flow of client as well as administrative and back office activity of the different sites. Supervises licensed and non-licensed clinical staff (direct therapist, mid-level supervisors, BCBAs, BCaBAs) and participates in the development and implementation of all clinic goals. This high-level operational & administrative role reports to the CEO.

Duties and Responsibilities:

Directly supervises the licensed and non-licensed clinical staff and administrative teams.
Collaborates with the Regional Directors, Regional Managers, and mid-level supervisors to develop orientation, training, supervision, and evaluation of clinical support staff to ensure their compliance with all health center policies & procedures and efficient and effective delivery of patient services. Identifies training needs.
Participates in interviewing and hiring of all staff.
Facilities monthly and bi-weekly team meetings and meetings with clinical support to discuss performance, operational issues, improvement activities, policies, and procedures.
Oversees revenue collections with a thorough understanding of third-party reimbursements; and providing support to medical providers.
Responsible for overseeing support staff work assignments and daily clinical operations
Evaluates performance and disciplinary actions. Conduct job performance evaluation on an annual basis
Assigns and completes job assignment and work schedules;
Resolves staff development issues and complaints in accordance with the clinic’s policies and procedures
Works with staff to identify professional development needs and implementing continuing education program/in-services
Operations

Responsible for coordination of day to day operations in accordance with company policies and procedures
Works closely with providers and staff to ensure clinical tasks and activities are carried out according to regulatory compliance and task timeline.
Maintains and improves clinic operations in conjunction with the CEO, clinical administrative staff, and leadership team.
Promotes employee and client safety needs, communicating these needs with recommendations, as appropriate, to the CEO
Participates in the development and improvement of clinic operational systems and through department managers/supervisors, assures the development of systems and the assignment of responsibility for client and authorized hours.
Assures the coordination, procedures, training, and implementation of the telephone and walk-in triage system, clinic emergency procedure, referral follow-up as well as care coordination and care transition program.
Monitors and resolves patient complaints, documents, and responds in accordance with the clinic’s policies and procedures.
Monitors patient utilization of program and services in conjunction with the scheduling and clinical staff to ensure service goals are met.
Monitors the translation needs of providers and patients, identifies problem areas, and makes changes as necessary
Assures that the clinic adheres to all regulations and legal requirements
Administrative Duties

Meets regularly with the CEO, Directors and other Managers/Supervisors
Help establish/implement goals, objectives, policies, procedures, and systems for assigned medical clinic related administrative areas
Participates in the planning, development, and implementation of system improvements
Performs other duties and projects as requested by the CEO
Draft, updates, and monitors appropriate procedures to implement all clinic policies pertaining to back office patient flow
Recommends updates for all medical clinic forms including encounter forms, and other internal documents as necessary
Prepares various reports
Required Qualifications, Knowledge & Abilities:

Master’s degree in therapy, behavioral health or business administration
Five (5) years minimum previous supervisory and management experience in outpatient clinics, community health center or physician office
Health-related professional training and experience in an Early Intervention/ABA healthcare setting highly desirable
Ability to communicate both orally and in writing in a professional manner; Spanish language competency highly preferred
Computer literacy requires; familiarity with the use of Microsoft Windows and Google Suite
Experience with the implementation and utilization of electronic practice management systems desirable. Knowledge of the principles or practice management systems required
Demonstrated ability to gather, interpret, and analyze data with the ability to prepare and present comprehensive reports.
Ability to take initiative and to exercise independent and sensible judgment: demonstrates decision-making and problem-solving expertise
Ability to provide proactive, positive, calm and overall effective leadership for the clinic staff in the delivery of day to day clinic services
Demonstrated ability to motivate, supervise, train, and work respectfully and effectively with a culturally diverse clinic staff
Ability to collaborate and work effectively with the management team, patients, the public, community members and external agencies
